Define the gatehouse role
Is the officer verifying lists, calling residents, issuing passes, documenting vendors, opening gates, or simply observing? Ambiguity at the entrance creates conflict.
Decide what happens after entry
A gatehouse is only one layer. Clarify whether the officer conducts amenity checks, common-area patrols, parking observations, or after-hours property walkthroughs.
Set resident-service expectations
Professionalism matters. The post orders should explain how officers communicate, when they refer matters to management, and what they should never promise or enforce outside their authority.
Establish escalation
Create clear contacts for maintenance, property management, emergency services, and security leadership.
Review reporting
The board or manager should know how activity, incidents, visitor exceptions, and recurring concerns will be documented.
